Sending Emails to Tenants

You can now send rental and charge invoices, credit notes, receipts and refunds as pdf files by email at the click of a button.

Before you start

You should complete a document header to go at the top of your invoices before you send them.

You can also add payment details to them as well.

Sending Invoices and Payment Receipts

Head to one of these locations in the Tenant Manager and look for the icon at the right hand side of the screen, next to the item you want to send.

For invoices go to Invoices.

For payment receipts go to Payments.

Check through the accompanying letter and press Send.  Once and item has been sent, the icon will change to In Queue before finally changing to Sent.  Click this button to send the invoice or receipt again. 

*Note: Landlord Vision will not automatically send invoices to your tenants by email unless you have the Automatically Send Invoices to Tenants option enabled in Tenancies > Edit Tenancy (see section on Sending Rent Reminders).

If you have generated a lot of invoices, you can use the bulk send option to send a lot in one go.  On Tenant Manager > Invoices, tick all of the invoices you want to send and select Send in Email from the Bulk Options list at the bottom of the page.  Invoices are sent in batches of 50 every five minutes.

Sending Documents and Reports

You can send reports from the Reports module. To send a report, open it up and click Email PDF at the top of the page.

You can send documents from Tenant Manager > Mail Merge > Compose, or any one of the E-signatures pages.
