tenant module safety certs

it would be useful if safety certs could be viewed by tenant in tenant module with out having to share them each time

We have made a little change here recently that I think is worth highlighting in this thread. On any Documents page, you can select multiple documents and then you select the option options from the Bulk Options menu at the bottom of the page:

  • Assign selected documents to contacts, properties, and/or tenancies
  • Unassign selected documents from contacts, properties, and/or tenancies

If any of these documents have already been set to 'Share with the Selected Contacts' then these documents also will be available for the tenants to download from their Tenant Modules

Thanks Roy, but you have missed the point. 

At the moment we have to upload the SAME safety certificates twice: Once to Documents so that they can be shared with tenants. And a second time to the Property Safety Certificates & Insurances.

Louisa's suggestion is to share the Safety Certificates that are uploaded to the Property Safety Certificates & Insurances tab, with the tenants who landlords have a legal duty to share with them so that we only have to upload once. 

However, in addition to including the Safety Certificates in the tenant module, Landlord Vision should AUTOMATICALLY send an email to all tenants whenever any new Safety Certificate is added to a property that they are living in.

This is an urgent and important failure of functionality, that should be easy to fix. Please sort it.

There is no need to upload the same document twice.  When uploading a document you can assign it to one or more contacts as well as the property and also share it with the contacts.  Doing this makes it available for viewing via the Tenant Module.  If you didn't add the tenant when you uploaded the document, search for it in Document Manager > Documents or Property Documents, edit it and then assign the contacts that way.  Or do it in bulk as per the above method.

As for your final point, I will look into this further.  It is possible as things stand to email your documents to your tenants from Landlord Vision, though this is a manual process

Thanks Roy. It's great that you're going to look into creating a workflow that allows safety and legally mandated certificates to be automatically forwarded to tenants. Please keep me posted. 

In the meantime, I know that when uploading a Document to Document Manager, that it can be associated with a property. My question is how however, how to also link it to the Safety Certificates and Insurances Tab of the Property where it can be given an expiry date and an early warning set.

Once the document has been uploaded, go to the Safety Certificates and Insurances page of the property > Add Certificate (or edit certificate if it has already been added), select the folder the file has been uploaded to and the file will be in the dropdown list below
