Understanding Portfolios

This guide explains how and when to use portfolios.

Portfolio Overview

In essence, a portfolio is an independent group of properties that are managed separately from any other ones. Each portfolio has its own Chart of Accounts and is intended to be run as its own business. As such there is almost no interplay between the different portfolios that you may have set up. Create separate portfolios for these scenarios:

  • Your own personal portfolio
  • A limited company
  • Properties you are managing on another person's behalf

Basically, everything that requires its own bank account can be separated out into individual portfolios.

Co-Ownership

If you co-own a series of properties with another person, you can enter the split between the landlords when setting up the portfolio.  If there are different ownership percentages for some or all of the properties, you can enter these into the individual properties so there is no need to create a separate portfolio here. Simply enter the data as normal and then when you run the Income Tax report, run it once for each landlord to produce the numbers for the self assessment form.

Bank Accounts

If you have a number of properties that use the same bank account, it is easier to keep them in the same portfolio and upload one bank statement than to create several portfolios and try to split the bank statement up.

Accounting

Landlord Vision will now produce all of its reports based on the information contained within each portfolio. If you want information about another portfolio, you will need to switch over to it.

User Access

If you have a portfolio that involves a partner but you don't want them to see information in another portfolio, you can restrict their user access. Go to Settings > Users > Invite Users and enable and disable access to the portfolios as desired. For read-only access, just limit the other user to the Reports module.
