Recording Rent Payments

There are many ways of recording rent payments in Landlord Vision, as there are many ways of receiving a payment.  This guide goes through them all.

Before you add the payments, please make sure that you have set your tenancies up correctly and you have a payment schedule with the correct dates on it.  Each section below shows you how to enter the payment in Tenant Manager and on Account Manager > Bank Accounts > Select the bank account > Reconcile tab.  There are more details on the bank reconciliation process here.

If your tenant pays the right amount

Simply go to Tenant Manager > Payment Schedule > Select the tenant > Place your cursor over the invoice and look for the cog icon > Add payment > Enter the details.

Or

On the Reconcile tab find the transaction on the bank statement and match it to the invoice on the reconcile screen.

If your tenant has underpaid

Again, go to Tenant Manager > Payment Schedule > Select the tenant > Place your cursor over the invoice and look for the cog icon > Add Payment > Enter the details.

Or

Find the transaction on the bank statement and click Find a Match Manually.  Find the invoice on the list (use the search filters if you need to), place your cursor over the invoice and press Split before entering the amount in the box that comes up.

If your tenant has overpaid

This time you have more options.

In Tenant Manager > Payment Schedule > Select the tenant > Bulk Payment > Enter the details including the amount received and then allocate it to the relevant invoices.

Or

Go to Tenant Manager > Payments > Add Payment > Select the Payer > Enter the details including the amount received and then allocate it to the relevant invoices.

Or

On the Reconcile screen, find the transaction from the Bank Statement column and click Find a Match Manually.  Now find the invoices in the transactions list and tick them off.  If they have partly paid another rent, then place your cursor over the invoice and press Split and enter the amount in the box that comes up.

Adding payments from lots of tenants at once

If you add all of your rental payments at once, say at the end of the month, you have a few options:

Go to Tenant Manager > Payments > Add Payment > Select the Payer > Enter the details including the amount received and then allocate it to the relevant invoices.  Now click the + button next to the Payer to add another and set them up also.  Keep going until all rents are on before clicking on Save.

Or

Go to Tenant Manager > Invoices > Bulk Payment.  This will give you the option to pay off every outstanding invoice on the system at once.  Check through this carefully and adjust the payment amounts and invoice allocations as necessary.

Or

Import the whole bank statement and work your way through the received rents on the Reconcile screen.  Click OK if they match, or search for the invoices as specified above if they don't.
